Support Services Coordinator (40%)

Cancer Support Switzerland is a non-profit association of volunteers and paid professionals. Its vision is that no one faces cancer alone.  Its mission is to provide emotional support, practical help, well-being activities and a welcoming community in English for anyone affected by cancer and their family members.  

The Support Services Coordinator (SSC) ensures clients’ needs are matched with appropriate support services in a timely way.  The current support services include Work and Cancer, Teen Support, Prostate Cancer Group, Drop-In centre, Breast Cancer Support, Online Support Group, Lausanne Support Group, Gardens, Yoga, Pilates, Mindfulness Based Cognitive Therapy for Cancer, Bereavement Support, Art Therapy groups, Walk and Talk, Look Good and Feel Better etc.  

The SSC is responsible for overseeing the work of the coordinators of support services, who most are volunteers.  The role includes developing new support services and evaluating the effectiveness of existing services in meeting the needs of people with cancer and their family members supported by Cancer Support Switzerland.     

The SSC collaborates closely with the Counselling and Support Services Manager, Counselling team, Peer Support Coordinator and Peer Supporter volunteers, the coordinators/providers of the support services, as well as the Operations and Centre Manager, Volunteer Coordinator and Communication and Awareness Manager.

Responsibilities: 

Client contact and support of the coordinators of support services 

  • Responsible for ensuring clients feel welcome, special and valued as individuals. 
  • Offers and links clients to a range of Cancer Support Switzerland services, including groups, individual counselling and/or peer support, as appropriate. Liaises with the Intake Officer, Peer Support Coordinator, counsellors, and coordinators of the relevant services, accordingly. 
  • Responsible for identifying, contacting, and registering new and existing clients to participate in Cancer Support Switzerland’s support services and structured support programmes and workshops (MBCT-ca, Bereavement Support, Art Therapy, Look Good Feel Better etc).  
  • Maintains contact with clients and keeps up-to-date records on each case.   
  • Schedules support service activities, organizes logistics and provides administrative assistance to facilitators and coordinators of support services. 
  • Fosters strong working relationships with the coordinators of each support service.  Regularly and systematically maintains contact with them ensuring they have the guidance and support they need to carry out their work with confidence, to operate safely within the limits of their role and to follow relevant Cancer Support Switzerland procedures.  Collaborates with the Peer Support Coordinator in debriefing Peer Supporters who coordinate support services.

Developing and Maintaining Support Services  

  • Evaluates and reviews the effectiveness of support services in meeting the needs of the people supported by Cancer Support Switzerland.  Responsible for altering current services or developing new services, accordingly. 
  • Ensure that support services are in alignment with current research and practices that support well-being and a healthy lifestyle for people with cancer.  
  • Stays up to date of best practices and effective services and models used by other organizations and institutions, applying learnings to Cancer Support Switzerland services as appropriate. 
  • Identifies volunteer coordinators of support services in collaboration with the Volunteer Coordinator and identifies paid service providers in collaboration with the Counselling and Support Services Manager, when needed. 

Record-Keeping and Reporting  

  • Tracks support services activities (especially maintenance of database and spreadsheets).  With the help of the Operations and Centre Manager: 
    • ensures client and support service records are updated 
    • maintains client data with respect to support services usage, including tracking all support inquiries in collaboration with the Intake Officer. 
    • records client, staff, and volunteer hours for all support services 
    • provides information and statistics for reports and publications and ensures their accuracy prior to release 

Job Knowledge and Skills 

Essential 

  • Prior experience of providing person-focused care and support, preferably with those living with cancer 
  • Prior experience in leading and motivating volunteers 
  • Prior experience in a managerial or coordination role  
  • Self-starter, used to operating with limited supervision of administrative activities 
  • Strong presentation skills and written and verbal communication skills in English.  A good working knowledge of French a plus. 
  • Good with figures and used to analyzing data 
  • Excellent computer and software skills (i.e., Microsoft Office) 
  • Comfortable multi-tasking, organisation, problem solving, working under pressure and managing time and workload; able to set priorities and meet deadlines 
  • Excellent interpersonal skills, good team worker and effective at networking and developing relationships with others Innovation mindset, creativity and willingness to experiment. 
  • Permit to work in Geneva is required. 

Desirable 

  • Qualification or undertaking training in counselling or coaching 
  • Prior experience using Salesforce.com databases an asset
